This Privacy Policy sets out how LEDA, the Moodle Workplace Learning Management System (LMS), collects, uses, discloses, and protects personal information in compliance with UK and European data protection laws. By utilising LEDA, users acknowledge and agree to the practices described herein.

The policy focuses upon how users accessing the platform via a JTL group company will have privacy managed and data used. The group companies are: -

1. Information We Collect:

 

1.1 Personal Information:

LEDA may collect personal information provided by users during registration, including names, addresses, contact details, and other relevant identifiers associated with default Moodle Environments. Other personal data relating to our  services may be included in your LEDA profile. These are not limited to, but may include the following for JTL subsidiaries:-

1.2 Sensitive Information:

LEDA does not knowingly collect sensitive information, such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data, health information, or information about sexual orientation.

 

1.3 Training Data:

LEDA collects training-related data, including progress, completion status, assessment results, and any additional information necessary for the provision of learning services.

 

 

2. How We Use Your Information:


2.1 Training Facilitation:

Personal information and training data are used to facilitate apprentices', delegates, employees and candidates learning experiences, track progress, and deliver personalised content.

 

2.2 Customer-Specific Utilisation:

 

2.2.1 JTL Customers:

JTL customers utilise the platform to enhance apprenticeship training. Training officers assigned to apprentices have access to progress and completion data for discussions with employers, facilitating collaborative monitoring of apprentices' development.

 

2.2.2 Develop Training Customers:

Develop Training customers benefit from LEDA for tailored learning experiences. Develop trainers can review progress data, enabling constructive discussions with employers to optimise training outcomes.

 

2.2.3 CompEx Certification Customers:

CompEx Certification customers utilise LEDA for competency training. Authorised CompEx training centers may have access to CompEx candidate data, allowing for comprehensive assessments and discussions to enhance competency development and qualification delivery. Candidates may be registered for the LEDA platofrm via centres in the CompEx Authorised Global centre network, or transfered from one tenant to another to facilitate service delivery. For example somebody who is already a member of the CompEx Alumni may be transferred to a centre if they are completing a new CompEx qualfication. This would mean that personnel within that training centre would have access to their data. CompEx Authorsied Instructors or Assessors can review progress data, enabling constructive discussions with employers to optimise training outcomes if a candidate is registered at their centre. Employers who have been provisioned with custom tenants in the LEDA environment will have access to employee data for those employees registered on the employer tenant.

 

 

2.3 Communication:

LEDA may use contact information to send important updates, notifications, and relevant learning materials. 

 

3. Data Sharing:

 

3.1 JTL Apprentices and Training Officers:

Training officers assigned to apprentices (JTL and Develop Training) have access to progress and completion data for facilitating discussions with employers. This collaboration is essential for monitoring apprentices' development.

 

3.2 CompEx Certification and Training Centers:

Authorised CompEx training centers have access to CompEx candidate data, enabling thorough assessments and discussions to enhance competency development and qualification training. CompEx Authorsied Instructors or Assessors can review progress data, enabling constructive discussions with employers to optimise training outcomes if a candidate is registered at their centre. 

 

3.3 Employers:

Employers associated with JTL apprentices learners may be provided with aggregated, non-personally identifiable data to assess overall performance and progress. Develop employers who have been provisioned with custom tenants in the LEDA environment will have access to employee data for those employees registered on the employer tenant. CompEx employers who have been provisioned with custom tenants in the LEDA environment will have access to employee data for those employees registered on the employer tenant.

 

3.4 Third-Party Service Providers:

LEDA engages trusted third-party service providers for hosting, maintenance, analytics, and other support services. These providers adhere to stringent data protection standards. All hosting and maintenance of the platform is provided by Titus Learning Ltd. Salts Mill, Victoria Rd, Saltaire, Shipley, BD18 3LA. More information on Titus Learning can be found on their website. This may be integration of service using Learning Tools Interoperability (LTI), or further system integration with existing partners.

 

3.5 Third-Party Content Providers:

LEDA utilises content from a range of third party content providers, and this will often utilise remote SCORM to provision learning content. This means that base data is shared with certain third party content providers. All of our third party content providers adhere to stringent data protection standards under EU legislation.   • Support for CompEx qualifications via CompEx.
  • Digital end to end courses to support CompEx practitioners.
  • Bespoke tenants for Approved CompEx Training Centres and some employers.

The Data Controller (JTL Ltd) is committed to:

15. Multi-Tenancy and Closed Portals:

 

15.1 Closed Portals:

Clients with closed portals under multi-tenancy have the ability to manage only learners within their own tenancy. Access controls are implemented to ensure that client administrators can only access and manage data related to learners within their specific tenancy. Learners completing activity on closed client portals should be aware that they have a delegated organisational administrator with the role of Tenant Administrator. Such a role will have access to all data on users within the closed tenant. It should also be noted that many clients opt to use closed portals so that they can take advantage of an organisational hierarchy feature enabling line managers to monitor the progress of staff CPD activity. If you have questions surrounding such permissions you should discuss this with your organisational Tenant Administrator.

 

15.2 Data Management:

Clients with closed portals are responsible for the management and security of learner data within their tenancy. This includes ensuring compliance with data protection laws and regulations and any LEDA site policy adherance. 

 

16. Data Retention:

LEDA retains personal information for the duration necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law.

In the event of a data breach, LEDA will promptly assess the incident, take appropriate measures to mitigate the impact, and notify affected parties in accordance with legal requirements.
